Here we collected some questions, that arose frequently when using CCalendar : If you have further questions, whose answer you could not yet find here, please send the question with providing your organisation name or organisation ID to info@ckalender.de.
 
How does the initial registration work?
For initial registration of you organisation please do the following:
  1. Registrate your organisation under Initial Registration once for usage of CCalendar .
    An extra CCalendar zone will be created exclusively for your organisation.
    Therefore you will directly get your login details (username and password) sent to your e-mail address.
  2. With these login details you can then log into your organisation zone of CCalendar. Here you can adjust CCalendar to your individual needs. These are especially for the start
    • Create up to 300 user accounts for every user of your organisation
    • Create individual appointment groups of your orgaisation
With that the initial registration is complete.

Thereupon every user created by you can login with their own account (created by you) in the user zone of CKalenders and work with it.

Important Notes:
  • An organisation has to be registered only once.
    You (as an administrator) can create further (user) accounts for up to 300 users later - without additional charges!
  • With the one-time registration of your organisation you (as administrator) automatically get your first account created with administration rights.

How can the usage period be extended?
Every calendar user with administration rights can extend the usage period.
For extension the administrator logs into the calender as usual with their login details. Under the menu item "Configuration/Payment" they can extend the payment in advance-period. - This also works when the period of payment in advance has already expired.
 
When do costs arise?
Creating a test account is non-binding and free of charge!
The service will automatically be deactivated after expiration of the first 50 days. After that you can make a payment in advance with your administration account in the administration zone in order to activate the service for further usage. (Prices can be found here.)
Thus no costs arise, unless you explicitly make the payment yourself after expiration of the test period.
 
Do more users cost more?
At CCalender you pay per organisation. Within your organisation account you can create up to 300 users. No additional costs apply through that!
 
Which payment methods are possible?
CCalendar can be paid each in advance for 6, 12 or 18 months.
From Germany you can choose between automatic bank collection or invoice. From abroad only payment by invoice is currently possible.
Payment can be done in the calendar from any admin account under the menu item "Configuration/Payment".
 
When and how do I have to cancel CCalendar?
Normally there is no cancellation period that you have to meet!
You only pay for your desired payment in advance period of either 6, 12 or 18 months.
Before the expiration of this one-time paid period the registered organisation administrator automatically receives an e-mail notification. Then a new payment in advance can be done for the next period. - If not, your account automatically expires. - there is no need for further action for you!

Exception: In the meantime it is also possible to get a continuous booking with direct debit mandate (see under admin menu item "Configuration/Payment").
Here your subscription extends with automatic direct debit mandate for one year respectively until you cancel in written notice of 4 Weeks before expiration of your current payment in advance period.

(Your data remains in the sytem further 150 days after expiration before being deleted. During that time you can reactivate your account after expiration.)
 
Which account types do exist?
CCalendarcan be used by arbitrary organisations to organise appointments together.
Within an organisation (organisation account), accounts (access authorisation) for up to 300 users can be created. Here, a differentiation between three different accout types is made:
    1.) Admin account (administration account)
    2.) User account (normal user account)
    3.) Guest account (highly restricted rights)
Per organisation, one admin account is automatically created at initial registration and the password is sent to the specified e-mail address. From there all further settings and creation of accounts can be done.

Admin account:
A user with administration account in posseses unrestricted rights for their organisation. With an admin account the following administrative things - in contrast to a user or guest account - can be done.
    - Editing organisation settings
    - Adding, editing and deleting appointment groups
    - Adding, editing and deleting further accounts
    - Editing all subscritions and rights settings
    - Collective data import with CSV file (if activated)
    - Embedding additional modules
    - Carry out extensions (payments in advance)
Furthermore an admin account also has all other functions of a normal user account.

User account:
With a normal user account a user can log in CCalendar and view all appointments, for whose appointment groups he owns reading rights as well as edit all appointments, for whose appointment groups he wons writing rights. Moreover they can let appointment groups, for which they own reading rights, be sent immediately / daily / weekly or monthly to themselves per e-mail subscription.

Guest account:
The guest account only has very restrictive rights. With a guest account a user can in fact log in CCalendar  - but they only get those appointments displayed, that have the status "public" and "fixed". A guest has no writing rights in CCalendar.
 
How can appointments be automatically displayed on the homepage?
All wished appointments can be automatically displayed on your homepage, namely as calendar, appointment-list or as appointment-ticker.

How can appointments also be sorted by time?
The time field is in CCalendar a blank text field. This opens the possibility of very freely time entries as e.g. "Admission from 7.30 pm, Start at 8 pm" or the like.
That your appointments still can be sorted by date and time, you have to consider the following: Simply enter all time information in the format hh:mm, so with leading zeroes! (for example: 06:00 am / 07:30 am / 09.45 am / 12.15 am / ...), then all appointments will be sorted correctly - by date and time! - So it is in your own hands!
 
How can auto-login be deactivated again?
If you have difficulties to deactivate the auto-login again, please do the following:
  • 1.) Switch off the auto-login in your CCalendar settings and confirm the activity with "Enter Changes"
  • 2.) Log out of CCalendar with the "Logout" symbol
  • 3.) Delete your saved cookies (at least those of ckalender.de) in your browser settings
 
Why am I not able to access CCalendar with my browser?
The following system requirements are necessary to use CCalendar:
  • Access can be done from any up-to-date browser.
  • Pay attention that you activate JavaScript in your browser settings, at least for ckalender.de.
  • Pay attention that you deactivate PopUp-Blocker in your browser settings, at least for ckalender.de.
  • Furthermore the use of cookies (at least temorarily cookies for ckalender.de) is recommended.
 
How long does appointemnt-data remain in the system? / Does appointemnt-data have to be deleted?
All appointments remain after expiration of the appointment date for exactly 3 years in the system. After expiration of these 3 years the appointment will automatically deleted from the system.
Appointment series without end-date will of course not be deleted automatically, as long as the user does not do it themself.
(That means an appointment with the dates "10.08.2024 to 12.08.2024" is visible in the sytem until the 12.08.2027 and will be deleted from the system automatically on the 13.08.2027.)
 
Why can't I edit any appointment I can see?
An appointment can be assigned to arbitrary user-groups. (For example: Appointment "summer-festival" can be assigned to "management" and to "staff".)
You can see every appointment for which you have read-rights for AT LEAST ONE assigned user-group. (For example: "staff")
You can edit every appointment for which you have write-rights for EVERY assigned user-group. (For example "management" and "staff".)
What user means:
"Furthermore I want to say thank you for the really excellent service you are offering. at a low price. Without you part of my work would be a lot more difficult! Thank you and thanks again – Keep on going…"
