Instrutions - Direct mail:
Requirement:
Direct mail is an optional, additional function of CCalendar. It is subject to charges and has to be activated by your administrator.
Function 1: Send direct mail (without appointment):
The function "Direct mail" is especially suitable to quickly send a simple email that is not necessarily related to appointments, to one (or more) very particular recipient group(s).

Open the direct mail dialogue with the menu item "Direct mail":
On the left you can select the addressed appointment groups. On the right you can freely type a text, that has to be sent via e-mail to the subscribers of the particular addressed appointment groups.
Please note: "to all" in this context means all registered users of your organisation - independent of their selection of subscribed appointment groups. Guest accounts are included as well.

With a click on the -symbol you can see who is going to receive the message if the group is selected.
(Of course no user will get the message twice, even if they are subscriber of more than one of the selected groups!)

With the field "Additionally send to the following e-mail address(es)" you can now send the message also to further addressees (which are not assigned to a CCalendar appointment group). Please note that the amount here is limited to 10 additional E-Mail addresses.

Finally send the message with the button "Send".
Function 2: Send direct mail with appointment:
From now every appointment can be sent directly to one or more arbitrary e-mail recipients that are not related to any appointment groups. (E.g. to invite a certain person outside the organisation to a certain appointment or to manually remind someone of an appointment.)
There is also the possibility to integrate a short message for the recipient(s).

To use this function, simply open the detailed view of the appointment that has to be sent:
Inside the red box on the bottom you can then enter as many e-mail addresses as desired (seperated with comma) and compose a short message for the recipient(s). With a click on the button "Send" the appointment will be sent to the recipient(s).
What user means:
"An excellent tool! We have been searching for it a very long time and found it here – Thank you!"
